This candidate will make it their job to take on operational tasks for the CEO, manage his schedule, plan company meetings, projects, and incentive trips, develop operational standards of practice, all while ensuring the office is run effectively and the staff is taken care of.

Executive/Personal Assistant to the CEO Responsibilities:

  • Manage calendar for maximum strategic impact. Calendar management will include professional, personal scheduling as needed
  • Manage phone calls, voicemails, manage email inbox for efficient, courteous response.
  • Manage all other correspondence (professional and personal/family) as requested.
  • Coordinate the logistics of all travel arrangements (personal and professional)
  • Manage, coordinate, assist with all CEO’s day to day activities (personal and professional)
  • Ensure that CEO is ahead of, and achieves deadlines.
  • Improve CEO and administrative staff productivity and efficiency.
  • Ensure CEO is fully prepared for internal and external meetings
  • Plan, prepare, and execute monthly meetings to be run be CEO involving entire company.
  • Develop work instructions on the fly to ensure tasks become easily repeatable.
  • Type and design general correspondence (memos, tables, graphs, business plans, charts, presentations, etc.); edit and proof for errors

Office Manager Responsibilities:

  • Greet guests immediately upon arrival and provide excellent customer service
  • Answer telephone calls, route calls and take messages as necessary
  • Coordinate space planning, office upgrades/expansion, internal moves, preparation of workstations, interior design needs and furniture inquiries, etc.
  • Order/Receive food deliveries and food set-up/clean-up
  • Ensure proper function and regular maintenance of all office equipment.
  • Maintain meeting rooms and handle required set ups for meetings
  • Build and maintain relationships with building management, janitors, security, vendors, etc., maintain an updated central contact list accessible to all administrative staff

  • Demonstrate experience managing complex projects or coordinating large-scale events
  • Excellent written and verbal communication skills
  • Incredible organizational skills; must be detail-oriented
  • Outstanding ability to prioritize and multitask
  • High level of proficiency in Microsoft Office
  • Must be flexible to work outside of core work hours when required
  • This position is 100% on-site. Working remotely for any portion of the core work hours is not acceptable
  • Strong interpersonal and communication skills.
  • Trustworthy, diplomatic and discrete (you will regularly be party to confidential information).
